How to Import APIs from India: Documents, Licences and Customs Step by Step

Red Chem Biotech · Published · 2 min read

A step-by-step guide to importing active pharmaceutical ingredients from India: supplier checks, the documents you need, licences, shipping and customs clearance.

India supplies a large share of the world's active pharmaceutical ingredients, and importing from India is routine for manufacturers, compounders and research buyers. The process is straightforward when the paperwork is agreed before the order, not after the goods arrive at customs.

Step 1: Confirm your own authorisation

Before contacting suppliers, confirm what your country requires to import the specific API for your intended use. Pharmaceutical manufacturing usually needs an import licence or site registration; some substances are controlled; research and industrial uses may follow separate rules. The buyer is responsible for this authorisation.

Step 2: Define the material and specification

Write down the exact material (name, salt form, CAS number), the grade or monograph (USP, EP, BP or in-house), the quantity and packaging. A clear specification lets you compare suppliers and later check the Certificate of Analysis against it.

Step 3: Qualify the supplier

  • Confirm the legal entity: company name, registration number (CIN for Indian companies) and address
  • Ask whether the supplier manufactures the API or sources it, and from which site
  • Request the specification, Safety Data Sheet and a recent batch COA
  • For regulated manufacturing, request GMP evidence and DMF or CEP access where required

Step 4: Agree the quotation

The quotation should fix the product and grade, quantity, unit price, Incoterm, payment terms, lead time and the documents that ship with the goods. Red Chem Biotech issues quotations online; buyers accept them, download the proforma invoice and track the order on one page.

Step 5: Payment, compliance check and dispatch

Payment is normally made against the proforma invoice. Responsible exporters check buyer identity, end use and destination before releasing a controlled or regulated material. After release, the goods ship by air or sea with the tracking number shared.

Step 6: Customs clearance

Your customs broker will need the commercial invoice, packing list, airway bill or bill of lading, certificate of origin and any import licence. Keep the batch number identical on the invoice, packing list, label and COA — mismatches are the most common cause of delays.

Documents checklist

  • Commercial invoice and packing list
  • Batch Certificate of Analysis and Safety Data Sheet
  • Certificate of origin
  • Airway bill or bill of lading
  • Your import licence or registration, where required

Frequently asked questions

Do I need an import licence to buy an API from India?

It depends on your country and the intended use. Many countries require a licence or registration to import APIs for pharmaceutical manufacturing, while research or industrial use may follow different rules. Check with your national regulator before you order.

Which documents does an Indian API exporter provide?

Typically a commercial invoice, packing list, batch Certificate of Analysis, Safety Data Sheet and certificate of origin, plus the airway bill or bill of lading. Regulated buyers may also request GMP evidence and DMF or CEP access.

How long does shipping an API from India take?

Air freight usually takes a few days door to door once goods are released; sea freight takes several weeks. The confirmed lead time on your quotation covers production or release testing before dispatch.
